No Show and Cancellation Policy
We prioritize our clients by holding space for each person we see. When clients cancel an appointment, our clinicians offer that space to other clients who need an appointment that week. When clients cancel within 24-hours or no show, other clients miss out on an opportunity to be seen.
If you would like to cancel an appointment, we ask that you do so with your provider with at least 24-hour notice. Anyone canceling an appointment with less than a 24-hour notice will be charged the full session fee. Insurance does not cover no-shows and late cancellations so it is the client’s responsibility to pay. We will charge the credit card on file for no-shows and cancellations within 24-hours of the scheduled session.

At Virtual Counselor, we accept all major credit cards, through our secure client portal, Theranest. Since we are a virtually based company, we are unable to accept cash or checks of any kind. Payment is due in full at the start of each session.
In order to secure a session, you will be required to provide a credit card. It is our policy to place a credit card on file through our secure client portal during the intake process. Please refer to the detailed information regarding billing provided in your client intake packet.
Telehealth services may be covered in full or in part by your health insurance or employee benefit plan. We accept limited insurance. We may complete an insurance verification; however, it is the client’s responsibility to check what benefits are covered by insurance. Your insurance company may require that you pre-authorize your treatment with us prior to your visit. It is your responsibility to do this and to monitor your insurance benefits, deductibles, as well as effective and termination dates of coverage. You should carefully read the section in your insurance coverage booklet that describes mental health services. If you have any questions, please contact your plan administrator.
Please check your coverage carefully by asking the following questions:
Do I have mental health insurance benefits?
What is my deductible and has it been met?
Does my insurance cover Telemedicine or Virtual Behavioral Health?
How many sessions per year does my health insurance cover?
What is the coverage amount per therapy session?
Is approval required by my primary care physician?
Out of Network Benefits
If we are not in-network with your insurance, we will provide guidance to access your out-of-network benefits to cover the costs associated with our work together.
We are able to provide clients with a Super Bill statement, which can be submitted to insurance companies for possible out-of-network benefits. If you do intend to submit to insurance, please notify us so that we can provide you the proper documentation. We encourage clients to speak with their insurance company directly about reimbursement options.
Please feel free to reach out to our Telehealth Coordinator if you need additional support. email@example.com.
